PlainReports helps teams turn project activity from connected tools into client-ready reports. This Privacy Policy explains what information we collect, how we use it, and the choices available to you.

Information We Collect

We collect account information such as your name, email address, company name, password, profile photo, team membership, and billing status.

We collect client and project information you choose to add, including client names, logos, recipients, project names, project descriptions, connected sources, report schedules, and report content.

When you connect third-party services, we collect and store the access information needed to read selected sources. Depending on the service, this may include account identifiers, OAuth tokens, source names, ticket/task metadata, status changes, timestamps, assignees, authors, and other project activity needed to generate reports.

We collect payment and subscription information through Stripe. We do not store full credit card numbers on our servers.

We may collect technical information such as IP address, browser type, device information, log data, and usage events needed to operate, secure, and improve the service.

How We Use Information

We use information to provide the PlainReports service, including account access, connected source syncing, report drafting, report scheduling, email delivery, client portals, billing, support, security, and product improvement.

We use connected source activity to generate plain-language reports and activity summaries. We do not use PlainReports as employee surveillance, time tracking, productivity scoring, or screenshot monitoring.

AI Processing

PlainReports may send selected project activity, project descriptions, report context, and related metadata to AI providers to generate report drafts and summaries. We only send the information needed to produce the requested report.

You are responsible for making sure the information you connect or submit is appropriate for this processing.

Sharing Information

We share information with service providers that help us operate PlainReports, such as hosting providers, email delivery providers, payment processors, analytics or logging tools, and AI providers.

We share reports and portal content with recipients or portal viewers you choose. Client portal links may expose approved report content to anyone with access to the link, depending on your portal settings.

We may disclose information if required by law, to protect the security of the service, or to enforce our agreements.

Data Retention

We keep account, project, activity, report, billing, and audit information for as long as needed to provide the service, meet legal obligations, resolve disputes, and maintain security. You may request deletion of your account or certain information by contacting us.

Security

We use reasonable administrative, technical, and organizational safeguards to protect information. No system is perfectly secure, and you are responsible for safeguarding your account credentials and third-party service access.

Your Choices

You may update account details, disconnect integrations, remove clients or projects where permitted, manage recipients, and cancel subscriptions from within the service or billing portal.

You may contact us to request access, correction, export, or deletion of personal information, subject to legal and operational limits.

Third-Party Services

PlainReports integrates with services such as Jira, ClickUp, Monday.com, Trello, GitHub Issues, Stripe, Postmark, and other tools. Your use of those services is governed by their own terms and privacy policies.

Changes

We may update this Privacy Policy from time to time. If we make material changes, we will update the date above and may provide additional notice.
